Privacy Policy

Last updated 13 August 2026

This policy explains what personal information IM Energy Solutions collects through this website, why we collect it, how we look after it and what rights you have over it.

Who we are

IM Energy Solutions (UK) Limited is the data controller for the information described in this policy. You can contact us about anything in it by writing to Aidan House, Sunderland Road, Gateshead, NE8 3HU, by emailing customerservice@imenergysolutions.co.uk, or by calling 07458 395901.

What we collect through this website

We collect information you give us directly when you complete a form. Depending on which form you use, that may include:

  • your name and the name of your business;
  • your work email address and telephone number;
  • your business postcode;
  • details about your energy arrangements, such as your current supplier, contract end date, number of sites and approximate annual spend;
  • any energy bill or document you choose to upload;
  • anything else you write in a message field.

We do not ask for special category data, and you should not send it to us through this website.

Energy bills and uploaded files

Uploading a bill is optional. You can request an energy review without sending one.

An energy bill can contain commercial information about your organisation and, in some cases, personal information such as a named contact. We treat uploaded files accordingly: they are stored so that only authorised members of our team can open them, they are not published anywhere on this website, and they are not shared with a supplier or any other third party without your permission. You can ask us to delete an uploaded file at any time and we will do so.

Why we use your information, and our lawful basis

We use the information you provide to respond to your enquiry, to carry out the energy review you asked for, and, if you decide to work with us, to manage your account and act on your behalf with suppliers.

Where you have contacted us to ask for a review, we rely on taking steps at your request before entering into a contract. Where we manage your energy arrangements on an ongoing basis, we rely on the performance of our contract with you. Where we need to keep records to meet a legal or regulatory obligation, we rely on that obligation.

Form submissions and how they are stored

Submissions made through this website are delivered to us by email and may also be stored within the website so that we do not lose an enquiry if an email fails to arrive. Access to stored submissions is limited to authorised users of the website.

Who else is involved

We use third parties to run this website and deliver our email. These providers process information on our behalf and under our instructions: our website hosting provider, our email delivery service, and our website platform and its plugins. We do not sell your information to anyone, and we do not share it for advertising purposes.

Where we approach energy suppliers on your behalf, we share only what is necessary for them to price or administer your supply, and we will tell you who we are approaching.

Cookies and analytics

This website uses cookies. Some are necessary for the site to work; others help us understand how the site is used. Non-essential cookies are only set where you have agreed to them, and you can change your mind at any time. Our Cookie Policy explains this in more detail.

How long we keep it

We keep enquiry information for as long as we need it to respond to you and, where you become a client, for the duration of our relationship and for as long afterwards as we are required to retain business records. Uploaded bills are kept only for as long as they are needed for the review or the ongoing management of your account, and are deleted sooner on request.

Your rights

You have the right to ask us for a copy of the personal information we hold about you, to have inaccurate information corrected, to ask us to delete information, to object to or restrict how we use it, and to ask us to transfer it to someone else. You can also withdraw consent where we relied on it.

To exercise any of these rights, contact us using the details above. We will respond within the time limits set by data protection law.

If you are unhappy with how we have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk, but we would appreciate the chance to put things right first.

Changes to this policy

If we change this policy we will update the date at the top of this page.
